    At TOA the Clerical Assistant supports operations at the Central Business Office (CBO), serving as an administrative resource for the revenue cycle efforts, and also provides daily back-up for the CBO administrative assistant.  While this role may not directly support TOA’s patients, it enables those who do to provide excellent clinical and administrative care.

    Responsibilities

    The Clerical Assistant provides a wide array of administrative services at the CBO, and specifically will:

     

    • Organize and mail Workers’ Compensation claims to the appropriate payer while insuring supporting documentation is provided and the patients account is notated
    • Utilize MBX software to process electronic correspondence and document the appropriate patient account
    • Provide back-up to the CBO administrative assistant. This includes:
      • Operating the main telephone switchboard to include answering incoming telephone calls,
      • Determining nature of calls, forwards calls and/or transfers calls to voicemail of the appropriate personnel/department;
      • Greeting and welcoming on-site visitors, determining the nature of business and announcing visitors to appropriate personnel;
      • Receiving, sorting, routing delivers mail to the appropriate department
    • Assist with credentialing tasks to include verifying provider and location demographics via phone or written correspondence, completing quarterly payer updates, scanning and data entry within OneApp Pro

    Qualifications

    At TOA, our patients deserve the best care, and that extends beyond the clinics to include how we handle our business administration activities.

    • Knowledge of administrative and clerical procedures, including experience with basic office computer systems and switchboard. Experience with an EHR or NextGen is a plus.
    • An energetic and enthusiastic pace at work, with the ability to swiftly and accurately manage the flow of documents without any diminishing focus on accuracy.
    • Must be able to work in a fast-paced environment, with a great tolerance for shifting priorities and workflow, with a demonstrated attention to detail.
    • The ability to provide exceptional customer service, both in-person and telephonically.
    • Experience in a healthcare environment is desirable but not required.
    • Dependability, with a reliance on the capacity to be at work on-time, every day so our team can provide the administrative services tasked with the role.
    • Some college is preferred, and a high school diploma or equivalent is required.
