Overview

 The Offica Clerical at TOA assist in the operations in each clerical department. Demonstrates a broad encompassing knowledge and expertise within each department

Responsibilities

  • Coordinate and schedule surgeries, follow-up appointments as designated by physicians
  • Interact with patients’ physicians and other staff both with the Clinic and as Float position (trained to work multiple positions):

 

 

FRONT DESK - Check in and check out, make charts, enter demographics, check current insurance, get referrals, collect copays and past balances, patient estimator for coin make return appointments.

 

Surgery – Get Benefits and precertification, schedule with hospital or surgery center, give surgery packets to patient, schedule therapy, schedule any specialist that need supplies for surgery, enter all info in the Drs. Surgery book , outlook calendar, Nextgen, fax orders to hospital. Workers comp for sports side, schedule tests (CT, bone scan, Doppler) check in surgery tickets.

 

Therapy- covers the check in check out, collect copays

 

Reports- Unapplied report, adjustment request, self-pay aging, audits,

 

Daily Deposits

 

Operator- answer and direct callers

 

Appointments- answer phones to schedule appointments with patients and doctor’s offices, schedule per individual doctor’s specializations and personal specifications, obtain faxed referrals from outside physician offices and contact patient for scheduling, submit paperwork for second opinion appointment requests to doctors in timely manner, contacting Rockhopper appointment requests upon immediate receipt of request, maintain professionalism at all times with patients, assist in routing calls to other TOA departments, build rapport with doctors and nurses for scheduling preferences.

 

VOI- verify all insurances for patients scheduled with physicians for office visits at TOA, contact outside insurance companies for benefits not provided through RTS or other internet sources, maintain staying at least one day ahead of schedule, distributing any insurance errors to schedulers to contact patients for correct information, update insurance information as necessary, submit daily reports of errors before and after corrections, assist with any insurance questions doctors, nurses, schedulers, and patients may have.

Financial Counselor- set up payment plans and take surgery deposits ,collect past due balances.

 

Help all departments with Benefits as needed.

  • Float from department to department. Float from site to site.
  • outside facilities providing accurate timely and responsive information
  • Coordinate processes and route all paperwork as required to meet physician and facility requirements
  • Ensure efficient telephone communication
  • Follow all written protocols and procedures of the Clinic
  • Demonstrate courtesy and helpfulness toward patients and their families
  • Schedule mutually acceptable appointment times for patients and physicians using computerized scheduling system
  • Work as team member within the patient services department and all other departments
  • Must be able to recognize and respond appropriately to urgent/emergent situations per protocols
  • Keep surgery appointment with the EHR and print charge tickets for upcoming surgeries
  • Establish and maintain effective working relationships with physicians, staff and management
  • Ensure that add on codes are attached to precertification before charges are posted Obtain retro precertification if needed
  • Verify and/or ensure that verification of benefits are completed before surgery
  • Responsible for entering surgeries on the physicians calendar
  • Effectively cope with typical job stress
  • Document work processes as required
  • Responsible for knowing all Physicians protocols and scheduling

 

Qualifications

 

EDUCATIONAL REQUIREMENTS:

 

  • High school diploma required 

 

QUALIFICATIONS AND EXPERIENCE:

  • 6 months to 1 year experience in healthcare
  • Understanding medical terminology
  • Strong organizational and interpersonal skills
  • Familiarity with computers
