The Payment Processing Specialist is responsible for receiving, posting, and balancing daily payment transactions in the practice management system as well as adjustments. Day-to-day activities may include all or some of the essential functions listed below depending upon individual experience / knowledge and the needs of the organization which are subject to change from time to time.



  • Obtains payment batch information received from sites (over the counter payments), correspondence received, electronic payer remittance advices, paper payer remittance advices, and the TOA bank lockbox. Responsible for entering and/or completing payment batches within the practice management system.
  • Assists in performing research regarding payer payments. This may include performing analysis of actual vs. expected payments received based on payer contracts or mandated fee schedules (i.e.: Medicare, Medicaid, and Work Comp).
  • Assists with a variety of projects and performs other duties as assigned.
  • Requires a degree of flexibility in assignment of work hours / shifts. Payments received in a given month must be posted by the close of the month and at times this may require overtime and/or work hours that are outside of the normal assignment in order to ensure completion.



  • High school diploma required


  • 1+ years of experience posting payments against physician accounts.
  • Must have experience reading and understanding payer remittance advices. Includes the ability to differentiate between allowed charges, contractual adjustments, line item denials / reasons, patient responsibility (co-pay, co-insurance, and deductibles), bundled payments, etc.
  • Requires both speed and accuracy in performing data entry.
  • Requires ability to organize and prioritize day-to-day tasks in order to keep work assignments current.
  • Prefer candidates that are proficient in utilizing MS-Excel for analyzing data using basic formulas, pivot tables, and charts.
